Account Payable Assistant

The Accounts Payable Assistant performs a variety of clerical support duties to assist in the daily operations of the accounting function. EXPECTATIONSRecord payable transactions in an accurate and timely mannerPrepare accurate reports as needed in a timely mannerPromote a customer friendly and favorable image of CompanyTreat vendors and colleagues with dignity, respect and in a fair mannerConfidentiality of Company informationContinuously improve systems and processes ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.Access ERP system to maintain vendor masters.Match vendor invoices to receiving reports.Communicate with receiving and purchasing to resolve vendor issues.Code vendor invoices with the correct accounting general ledger number.Access ERP system to vouch payments.Print vendor checks and obtain required signatures.Match the copy of checks with the paid invoices/documentation.Communicate with vendors via telephone or e-mail reconciling balance differences.File and maintain required accounting documentation.Participate in the accounting team process to develop and improve accounting systems and function.Continually strive to find better way to complete task and be the best in the industry.Maintain work area in a safe, clean and orderly fashion and conform to all quality and safety procedures. MARGINAL JOB FUNCTIONSMay be temporarily assigned to perform other clerical/support tasks. QUALIFICATION REQUIREMENTSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Education and/or Experience – An Associate’s Degree in Accounting and two years related accounting/administrative experience is preferred.   Experience in AS400 operating system, word processing (Microsoft Word), spreadsheet applications (Excel), Internet, and e-mail is preferred.  Language Skills – Ability to read and comprehend instructions, correspondence, and memos.  Ability to prepare and edit formal business correspondence.  Ability to effectively present information in one-on-one situations.  Good telephone reception skills and ability to maintain confidentiality. Mathematical Skills – Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, percentages, and decimals. Ability to convert from standard measures to metric measures. Reasoning Ability – Ability to apply common sense understanding to carry out written or verbal instructions.  Ability to deal with problems involving several abstract and concrete variables in various situations and assume responsibility for the result of the decision. Skills/Abilities – Strong knowledge of Microsoft Excel preferred.  Ability to operate a variety of office equipment including computer, ten key adding machine, fax machine, telephone/voice mail system, copier, postage machine, or any other equipment which may be necessary to perform the job.  Ability to work independently and to organize and prioritize tasks to meet required deadlines.
