Dow AgroSciences has an exciting opportunity for an Administrative Assistant, located in Pontiac, Illinois.The Administrative Assistant provides a variety of routine and non-routine administrative support services to production site employees. The Administrative Assistant is responsible for performing a wide variety of administrative tasks in support of operations. Under general supervision, the Administrative Assistant works on assignments where considerable judgment, confidentiality, and initiative are required in resolving problems and making recommendations. The Administrative Assistant may select appropriate procedures to complete tasks and work is performed within standard methods. The ideal candidate has developed a knowledge base in all areas of administrative support to allow for independent judgment and initiative in processing tasks. This role may act in a lead capacity. Responsibilities may include:? Creates correspondence, reports, drafts and forms, etc. using word processing spreadsheet software programs.? Handles incoming and interoffice telephone communications.? Handles communication tools including phone, fax, e-mail, mail, photocopying.? Inputs data into Product Inventory (PI) system typically regarding production, inventory, warehousing, product availability, and hedging report (SeedPro, SAP, etc.).? May arrange meeting schedules and travel schedules for production staff.? May provide support with production?s accounting and purchasing activities including check requests, vendor files, establishing new accounts, review customer invoices/statements, purchase requisition entries, and general interface with the central accounting department.? Establishes and maintains filing and library systems as directed.? Handles sensitive and confidential materials and information including production/licensing/distribution agreements, account processing, vendor and customer information.? Performs functions of one or more of the following roles: Human Resources Site Coordinator, Operating Discipline Management System (ODMS) Coordinator, Training Coordinator, Document Administrator.? Enters non-exempt regular, temporary and Ag labor employee hours worked into payroll system.? Assists in budget preparation and tracking, margin analysis, production and inventory reporting and special reporting as required.? Maintain adequate level of general office supplies.?
