Come join us on our journey to create solutions for a sustainable future Where the Chemistry Happens.   As an Administrative Assistance, you will provide a wide range of complex and diversified administrative support services for the Global HR & Finance Directors of Bioscience Research.  Formula for Success: You Will… Utilizing your comprehensive knowledge of organizational policies and structure, business practices, policies and procedures to manage details for the Sr. Leaders.Establishing and maintaining effective working relationships and serving as the first point of contact in communication with internal and external stakeholders.Coordinating, organizing and maintaining calendars through scheduling, coordinating and facilitating meetings/appointments, web conferences, events and travel arrangements (both domestic and international) as required for the Sr. Leaders.Assembling, preparing, and distributing a variety of work-related confidential information to stakeholders as identified.Coordinating, preparing and finalizing various minutes, reports and presentations as required.Coordinating and organizing correspondence to stakeholder groups.Assisting in administrative problem solving, project planning, development and execution of stated goals and objectives.Researching information, compiling statistics, and gathering and computing various data; preparing reports, summaries, or replies to inquiries, selecting relevant data from a variety of sources.Independently initiating actions, monitoring the process, and following through to completion or resolution of all phases of assignments.Preparation of travel expense filings in line with company policyArranging and managing all office supplies, equipment, upgrades, and IT needs.New Hire/Transfer On-Boarding for the function to ensure all access, supplies and needs are met for office setup.Other miscellaneous tasks as required such as filing, faxing, copying, etc.Additional requirements include:Coordinating all administrative recruiting activities in Taleo and corresponding pre-hire processes including background check/pre-employment physical processing and other related activities. Coordinating new hire onboarding including: processes, equipment orders and office logistics in partnership with function admins for Plant Science in RTP. Establishing, updating, and maintaining files and records–processing a variety of highly confidential information in compliance with legal and HR standards.Supporting regional Communications activitiesBASF Ingredients for Success: You Will Have:High school diploma or equivalent.5+ years of increasingly responsible administrative experience in a high-paced globally matrixed environment is required, including work in supporting a senior level manager. Fluent verbal and excellent written communication skills in English.Excellent organizational and planning skills.Ability to work under pressure with flexibility to adapt to changing work priorities while maintaining a high level of professionalism.Ability to exercise independent judgment regarding company matters including identifying, maintaining, and managing confidential issues appropriately.Highest quality standards on in time delivery of tasks.High level of independent work organization.A self-starter with demonstrated initiative and ability to anticipate needs.Highly proficient in Microsoft Office suite (Word, Powerpoint, Excel, Outlook).Ability and willingness to work unpredictable overtime or non-standard schedule.Experience working in a culturally diverse environment, able to interact effectively with all levels of personnel.Must demonstrate a proactive approach when handling calendar conflicts and upcoming meetings/events.Experience with itinerary and travel planning on an international basis.
