The IT department is comprised of five primary pillars: Infrastructure & Cyber Security, Enterprise Applications, IT Planning, NPK IT, Retail IT, and Wholesale Sales & TD&L IT. What you will do:Manage calendars of appointments; completing expense reports; composing and preparing correspondence that may be confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetingsPlan, coordinate, and ensure the executives schedules are followed and respectedProvide “gatekeeper” and “gateway” role, creating win-win situations for direct access to the senior leaders’ time and officeCompose correspondence requiring knowledge of ITLT’s views, philosophy, and some understanding of technical matters, may sign for senior leaders when technical or policy content has been authorizedProofread and correct prepared materials for grammar, spelling, punctuation, format, syntax, and contentWork cooperatively with other administrative assistants and other employees at various levels throughout the organizationCoordinate and prepare the following: presentations and documentation (some containing highly confidential, sensitive information) related to specific projects / assignments, monthly management reports, annual budgets along with monthly monitoring, draft meeting agendas, follow up action items, and Sharepoint updatesManage purchase requisitions / orders, invoicing, and time payroll collectionsAct as a liaison and point of reference for cross-functional teams and handling special projects as requiredWelcome visitors, answer questions and respond to meeting requests directed to senior leaders within ITSummarize the content of incoming materials, specially gathered information, or meetings to assist the ITLT; coordinates the new information with other sources; draws attention to important matters or areas of conflictRespond to project requests that are of administrative natureResearch, prioritize, and follow up on incoming issues and concerns addressed to the senior leaders, including those of a sensitive or confidential nature and determine appropriate course of action, referral, or responseProvide a bridge for smooth communication between the executives’ offices and internal departments; demonstrating leadership to maintain credibility, trust and support with senior leadership staffWork closely and effectively with the ITLT to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a “barometer,” having a sense for the issues taking place in the environment and keeping the ITLT updatedAchieve high performance goals and meets deadlines in a fast-paced environmentPrioritize conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressuresWhat you will bring:5 to 8 years of related senior administrative experience with advanced proficiency in PowerPoint, Excel, SharePoint, and AdobeAn administrative diploma or equivalent is considered an assetWorking knowledge of SAP and Visio software is considered an assetProficiency in compiling / working / interpreting data for completing Excel data analysis while maintaining a strong attention to detailStrong organizational, analytical and communication skills and ability to effectively complete complex tasks and prioritize work to meet established deadlines with minimal directionWorks well independently, is proactive, and has ability to think quickly and manage multiple priorities within a fast-paced environmentProfessional, self-motivated, quick learner, and ability to communicate effectively with a wide range of internal and external stakeholdersComfortable interacting with Executive level managementAre you a good match?
