It requires high-quality administrative and coordination assistance to top-level Engineering Leadership as well as to the engineering team. Responsibilities will also include the procurement and tracking of Prototype Parts that cannot be ordered through our ERP system. This ranges from initial contact with Supplier Company, placing orders through our purchasing system, tracking receipt of order and inventory location for prototype purchases.To be successful in this role, the candidate should be proactive, meet deadlines and communicate effectively, while also being able to prioritize appropriately. Our ideal candidate also has previous experience and is familiar with office management technologies.POSITION RESPONSIBILITIES
Coordinate calendars of the Engineering Leadership Team (ELT) as neededPlan appointments and events, coordinate lunches / dinnersMake travel arrangements, flight, hotel and transportationCompile expense reports for the Engineering Leadership Team as neededFacilitate internal communication (e.g. distribute information and schedule presentations)Conserves ELT”s time by reading, researching, and routing correspondence; drafting documents, initiating communications. Prepares reports by collecting and analyzing information.Supports the ELT schedules by planning and scheduling meetings, conferences, teleconferences, and travel.Maintains confidence and protects company and employees by keeping information confidential.Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.Support engineering during engineering product concept and alpha product builds by coordination and organization of prototype parts, ordering, receiving, tracking and location management, Resolve payment issues with vendors and internal departmentsContributes to team effort by accomplishing related results as needed.Coordinate Interview schedulesHandle requests and queries appropriatelyEdit and clean up reports, presentations and briefs EDUCATION AND EXPERIENCE
Associates degree, equivalent of 2 years credit hours toward a degree or 10 years of experience in a comparable job. Experience for a minimum of 10 years performing these responsibilities
