Dealer Development Assistant

The Dealer Services Assistant performs assigned administrative and clerical tasks that support the Dealer Development and Dealer Credit functions to further develop and grow the Kuhn North America (KNA) dealer network in the US and Canada. EXPECTATIONS·Create accurate and usable business documents and reports in a timely manner.·Continuously improve Dealer Development programs and Dealer Credit tools in order to support KNA dealers.·Maintain strict confidentiality of Company and dealer information.·Collaborate with managers and employees to continuously improve systems and solve problems.·Maintain a helpful and favorable image of Company. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.Dealer DevelopmentMonitor product registrations; make corrections as needed (VF review, field requests, MNH report, etc.), work with Territory Managers and dealers to ensure retailed machines are registered.Assist with KUHN s Customer Relations Management (CRM) activities and mailings as needed, working with KUHN s Customer Link program.Coordinate data entry of sales program results (retail and stocking programs, enter program codes in C-Link). Assist in creating summaries for regional and territory managers.Assist in maintenance of dealer email contacts (follow up and correct email addresses that were undeliverable).Work with Dealer Development Team to implement Early Order Programs and Dealer Qualification process, including communication of qualification, carryover requests, documentation, and tracking, filing documents.Process department Requests for Purchase (RFP) for promotional items, submit orders to the vendor and track RFPs to provide Accounting with a monthly summary of charges to be applied against the applicable department budgets.Administer Dealer Event Promotion Kit distribution. Process requests, track and distribute kits.Distribute employee apparel, track wear test items and collate feedback for specialist and managers.Enter orders and invoice dealer signage items.Processing Protect + requests from dealers (invoice, update SCG, track usage).Administer Customer Post Purchase Survey program, including mailing, data entry, tracking response rate, etc.Support dealer appointment and special product authorization processes. Order, distribute, and track dealer sales and marketing materials and tools and communicate progress with Territory Manager.Conduct internet researches of distribution networks of other suppliers and enter the information into an Excel spreadsheet, as requested by the manager.Dealer Credit – Provide support to Dealer Credit department as needed for the following tasks:Review physical inventory reports submitted by Territory Managers, track receipt of these reports, and file.Filing of dealer documents as needed.General AdministrativeCreate, maintain, and distribute assigned spreadsheets, databases, charts, graphs, and technical reports to support Dealer Development functions.Maintain and update dealer and company forms as needed.Perform miscellaneous filing, and copying as needed.Serve as backup for the telephone and lobby reception and/or mail delivery function when full-time receptionists are on vacation or unavailable to perform their regular duties.Participate in the Company s team process to develop and improve communication processes and procedures.Continually strive to find better ways to complete tasks and be the best in the industry.Maintain work area in a clean and orderly fashion and conform to all quality and safety procedures. MARGINAL JOB FUNCTIONS – May be temporarily assigned to perform other administrative tasks as needed. QUALIFICATION REQUIREMENTSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Education and/or Experience – An Administrative Assistant Associate s Degree and knowledge of the agricultural industry is preferred. Intermediate application knowledge and experience in word processing (Word) and spreadsheet applications (Excel), presentation software (PowerPoint), Adobe Acrobat, Internet, and e-mail is required. Experience/knowledge of database management software (Lotus Notes) is preferred. Language Skills – Ability to read and comprehend instructions, correspondence, and memos.  Ability to write and edit formal business correspondence based on verbal summary or outline. Ability to effectively present information, respond to questions, and solve problems with people at all levels of the organization and with people of different cultures/languages.  Exceptional telephone reception skills and ability to maintain confidentiality are required.  Ability to communicate in French is a plus. Mathematical Skills – Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, percentages, and decimals. Capable of converting from standard measures to metric measures. Reasoning Ability – Ability to apply common sense understanding to carry out written or verbal instructions. Ability to deal with problems involving several abstract and concrete variables in various situations and assume responsibility for the result of the decision. Skills/Abilities – Ability to operate a variety of office equipment including computer and telephone/voice mail systems, fax machine, and copier.  Ability to work independently and to organize and prioritize tasks to meet required deadlines.  Ability to accept constructive criticism and work well under pressure.
