Event and Education Coordinator
Non-ExemptMission: Contributes to PMA?s year-round value portfolio by assisting with the creation, management and execution of offerings that exceed participant expectations, diversify revenue and help PMA and CGTbyPMA attract, develop and retain a healthy, global membership.??Relationships:Works under the general supervision of the Vice President of Events & Education. Works frequently with other members of the Events and Education team. Communicates regularly with members and periodically with non-members and vendors. Works with other staff groups on various projects as assigned.?Responsibilities:Event Activities (60%)Manages the coordination and execution of event related projects (30%):PMA tours (Foodservice Conference and Fresh Summit)Fresh Summit mobile applicationFresh Summit Information Desk(s)Event Crisis Plans (Fresh Summit and Foodservice Conference)Women?s Fresh Perspectives BreakfastBusiness RoundtablesOther projects as assignedProvides overall support for events including (27%):Data enters and tallies event attendee evaluationsManages registrant projects including:Runs and formats registrant lists for copying/web postingCoordinates documentation and external communications for all ?buyer? programs (Foodservice, Fresh Summit, FC: Retail)Updates event committee contest documentsCompiles housing needs for attendees, staff and speakersUpdates and sends attendee communications, as neededCreates tent cards for attendees, speakers, sponsors, etc.Coordinates shipment of materials to eventsAssists in sponsorship communications, coordination and fulfillmentOrders and maintains supplies for Events and EducationSchedules meetings, assists in the preparation and distribution of: agendas, minutes, reports, and other documents for Events staff, and committees/task forcesPerforms administrative duties as assigned (3%)Education activities (40%)Compiles and sends speaker logistical memosSources required administrative items for event such as speaker bios, photos, contracts, signatures etc.Updates event web pages with education and event contentCoordinates speaker discovery calls, session planning calls and departmental meetings and logistics with internal stakeholdersCoordinates speaker registration for eventsFields speaker inquiries and maintains recordsSources and processes speaker invoices post eventAssists with maintaining master education documents for eventsPrepares speaker materials for shipments?Financial ImpactThe Events & Education Coordinator has indirect impact on PMA?s events, which contribute more than $17million in gross revenue.?Measures of SuccessRevision and streamlining of processes to better meet the needs of the Events & Education teamExcellent participant satisfaction scoresEfficient, proactive management of administrative dutiesAccuracy and timeliness of internal and external communicationsContributes to ROI through cost management?RequirementsFlexibility – ability to take direction from multiple people, manage simultaneous activities and work under time pressures, while maintaining attention to detail and a focus on follow-throughProactiveExcellent written and verbal communication skillsExcellent project management skillsAdministrative experience showing a high degree of competence in word processing, spreadsheet and other personal computer applicationsMust be able to perform work with a high degree speed and accuracyStrong team philosophy requiredTwo years of college or comparable education with 3 years? office experience handling detailed, computer-intensive projects as well as administrative support at an executive levelTravel ? 4-5 trips annuallyNo telework or relocation benefits available for this position.??????????????????????????????Apply for this job.
