Executive Assistant to Owners
PurposeOur company is searching for an experienced, reliable, self-driven, task-oriented Executive Assistant. The Executive Assistant to Owners will work directly with the owners and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced environment, while being flexible to achieve deadlines. Organization is a must! Previous experience or collegiate level education in the agriculture industry is beneficial for the position.ResponsibilitiesBe the front line of executive communications, including taking calls, responding to emails, and interfacing with clients & vendors, as well as schedule meetings and appointments.Prepare internal and external corporate documents for team members and industry partners.Schedule & manage travel arrangementsAssist owners with technology and communicationsArrange corporate events to take place outside of the work place, such as industry meetings, fund-raising events and staff appreciation events.Maintain an organized filing system of paper and electronic documents.Uphold a strict level of confidentialityAnalyze & evaluate potential problems before they arise, determine approach, and prepare recommendationsWork in collaboration of the general housekeeping of the office including:Answering calls & assisting with customer inquiries via telephone, email, and onsite visitsMaintain executive administrative duties such as managing certifications, permits, and completing mandatory reportingWork closely with the owners, assisting with the administrative portion of their projects/tasks, such as:Communication between vendors and managementFollowing through with clients & vendors, insuring they complete their dutiesOverseeing that the project is completed and within timelinesSkills/QualificationsExtensive previous experience in the agriculture business field either through work experience or collegiate level degreeAdvanced Microsoft Office skills, with ability to become familiar with firm-specific programs & softwareHighly proficient in Google applications and smart phone technologyDrive and ability to complete tasks efficiently, with aptitude to recognize & communicate improvements to be made on the same task/project in the future.Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities, Exceptional interpersonal skills, Friendly and professional demeanor are a must!Ability to work in a face paced office environment, as well as assist with projects outside of the officeMust have a valid United States Drivers License.Preferred 4+ years of experience as an Executive Assistant reporting directly to senior management.Apply for this job.
