?Description?JOB SUMMARY/PURPOSEThe job of the Export Documentation Specialist (Japan) was established for the purpose/s of invoicing orders for the Export Sales team, along with ensuring that the correct documentation arrives for customers timely to clear customs for customer?s fruit shipments. This position ensures documentation is correct for Global orders and diverting and invoicing orders that have changed location mid-shipment. This position specializes in Japan, Wellcome, Costco Taiwan, Europe and Global orders.?ESSENTIAL JOB FUNCTIONS/DUTIESMonitor shipments – make sure orders shipped from packinghouse and loaded on to ship.Price shipments according to price scales issued by sales department.Check documents – phytosanitary certificate is received from the packinghouse and is correct.Communicate with packinghouse personnel for corrections needed to their orders or documents issued by them.Invoice shipments to the proper customer.Obtain sea waybills needed for clearance when fruit arrives at destination.Gather all documents and mail to customer in timely manner before fruit arrives.Process any corrections necessary – quantity, prices to assure proper clearance at destination.Communicate with customers via e-mail to clear any problems.Regular timely attendance.Accomplishes department and organization goals by completing related tasks as needed.?OTHER DUTIESPerforms other related duties and special projects as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.Routine emailing and communication with customers regarding invoicing, questions, or pricing.Daily filing.Organize and pack files for retention at year end close.Maintains a neat work area.Maintains a professional appearance and personal conduct at all times.Attends meetings as requested.?MINIMUM QUALIFICATIONS (Education, Certifications/Licenses, Experiences, Knowledge, Skills and Abilities)Associates Degree in Business or High School Diploma/GED with 2 years? experience working in a fast paced office environment.Experienced in documentation management preferred with experience dealing with diverse entities.Knowledge of ad-hoc reporting.Excellent interpersonal, teamwork, and communication skills, including ability to effectively communicate both verbally and written with internal and external customers.The ability to work independently and carry out assignments to completion within parameter of instructions given, prescribed routines, and standard accepted practices.Ability to perform basic math, including calculations using fractions, percent?s and/or ratios.Strong computer skills: must be proficient in MS Office, Word, Excel and Outlook; ability to operate standard office equipment.Ability and eagerness to learn citrus nomenclature and the growth of citrus commodities as they are added to export invoicing.Ability to understand pricing of fruit and what z-code applies.Skilled at adapting to changing priorities, work environments, management styles and business trends.Ability to acquire and apply new knowledge or skills for work and recognize own strengths and weaknesses.?PHYSICAL REQUIREMENTS (List not all inclusive) Measurements: 67-100% of time = Continuously, 45-66% of time = Frequently, 66% of time = OccasionallyContinuously:Ability to safely and successfully perform the essential functions consistent with Sunkist standards, the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.Ability to maintain regular, punctual attendance consistent with Sunkist standard, the ADA, FMLA and other federal, state and local standards.Must be able to: talk, listen and speak effectively on telephone; read, write and understand written documents and policy; sit for sustained periods of time.?Frequently:Ability to type or otherwise work primarily with fingers rather than the whole hand or arm.Must be able to spend extended period of time sitting, viewing computer screen and/or operating a keyboard.Will need to move from workstation to various printers, scanners, etc. in order to handle business documents.Will need to type, key, grasp, twist, turn, reach, kneel, squat, stand, bend and stoop during a regular work day.?Occasionally:Moderate Carrying ? must be able to lift and carry up to 30 lbs.?EQUIPMENT USED FOR THIS POSITIONNormal office equipment such as printers, scanners, fax machines, computer and keyboard.?MENTAL REQUIREMENTSMust have the ability to:Process (review/organize) large amounts of information containing many components in a work environment with varying levels of distractions.At times, position requires critical, out-of-the-box thinking and problem-solving techniques in order to complete tasks.Sort through extraneous information on phone calls in order to determine primary issue(s).Shift from an involved project to handle an immediate need and then focus back to original project rapidly.Constant communication with packinghouses to ensure that phytos and other important documents are received at headquarters in a timely manner for vessel clearance.?WORKING CONDITIONSWorks mainly in an office environment subject to continuous interruptions and mild to moderate background noises.While performing the duties of this job, the employee is occasionally exposed to moving mechanical.Work may include extended periods of time viewing a computer monitor and operating a keyboard.Works and 8 hour work day Monday through Friday in the Corporate Office.?QualificationsExperience?PreferredAssociates Degree in Business or High School Diploma/GED with 2 years? experience working in a fast paced office environment. Experienced in documentation management preferred with experience dealing with diverse entities. Knowledge of ad-hoc reporting.?
