Facilities Service Manager

 Exempt Mission:  To serve our members by providing a safe, healthy environment for staff, by making sound financial decisions (protecting member investments) to contract, purchase, and maintain services for the building. Summary:  Manages the preventive maintenance of facility equipment including the parking lot, warehouse and outside shed storage (including HVAC Units, Fire, Security, Sprinkler System, Plumbing, electric, outside dock lift, office equipment etc.) Manages the receiving function. Responsible for the safety and security of staff through the maintenance and upkeep of our building and grounds which expands to our building furnishings, cleaning, maintenance and improvements. Develops and administers the budget for Facility Services. Responsible for the coordination of building space allotment and layout including facility expansion.   Staff Relationships:  The Facility Services Manager works under the general direction of the CFO. Provides general supervision for the part-time Facilities Services Coordinator and any temporary staff that may be needed.  Works closely with Office Services Manager and provides back up for the office services function when necessary.  Trains new staff on the operation of building security, fire, safety, and emergency procures. Works with staff on any issues that arise specifically related to the office and duties assigned.  Written and verbal communications with all PMA staff on matters of building environment, furnishings, operation functions and events. Serves on the Crisis Action Team.  Contacts:  Maintains relationships with vendors who provide professional support services, including HVAC, security, cleaning, plumbing, landscaping, grounds, parking lot, trash and recycling collections, roofing, etc., Responsibilities:   Responsible for insuring that services and contracts are properly fulfilled by vendors.  Responsible for directing technicians, and outside contractors for all warehouse and building needs, security of the PMA facility, alarm system, office furnishings, kitchen equipment, building and vending supplies, exercise equipment, HVAC system, roofing, and general structure and grounds. (35%)Responsible for office changes (works closely with IT and HR), building upgrades, repairs and remodeling. (25%)Responsible for packing shipments to PMA events. Responsible at Fresh Summit for the distribution of the shipment to the proper locations. (12%) Responsible for developing and administering the facilities budget (10%)Responsible for the supervision and quarterly performance reviews of the Facilities Service Specialist.  (9%)Responsible for ongoing security and safety of the staff during emergencies that involve building, services, and weather related situations. (5%)Responsible for setting up and negotiating building equipment purchases, and service contracts. Writing request for proposals, evaluating bids, and executing contracts. (3%)Responsible for training new hires on building safety, security, fire, and alarm system. (1%)Responds to alarms or security problems after work hours.Expands personal competencies be attending professional meetings, workshops, seminars, and by continue education as appropriate. Accountabilities:   Provides excellent customer serviceCommunication, problem solving and project management proficiencyAssures utilization and productivity of staffCreation and management of budgetProvides excellent working physical building environmentContracts quality vendors to help maintain a secure environment, and packs event shipments. Decision Making:   This position has the authority to:Select and replace all building vendors & contractors   Hire, terminate, develop, and manage Facility Services part time staffApprove expenses as defined in the Facilities Services budgetTake actions necessary to maintain the safety and security of PMA employeesIn emergencies, to repair/replace building operation equipment-HVAC, electrical, plumbing, up to $5000.00 Requirements:  Must have high school and or trade school diploma in Facility management, and minimum 5 years in the building/remodeling trades. Proven competence in written and oral communication, supervision of staff, project planning and execution; outstanding organizational skills, and must be able to manage multiple simultaneous projects.  Proven competence in contract bidding and management. Demonstrated ability to work in spreadsheets and do basic word processing.  Experience in developing and managing budgets. Work Environment Work is regularly performed in a combination of office and warehouse environments and is regularly exposed to dust, odors, oil, fumes and noise. Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  This includes the ability to lift up to 50 lbs. Medical examination required within 30 days of hire.While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Position Type/Expected Hours of Work This is a full-time position. Standard days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m. However, the position requires overnight on-call duty and the ability to work during nonstandard hours when the need arises.Phone/cell phone requiredCar with proof of valid driver’s vehicle registration and automobile insurance. Relocation and telephone benefits are not available for this position.
