PURPOSE AND SUMMARY STATEMENT
Under the direction of the Director, Grain Business Operations assumes responsibility for a wide range of administrative duties related to the Grain Division and Member Services including Acquisitions department. Handles confidential projects and correspondence, and is proactive in gathering information, dealing with priorities, and advance planning.
ESSENTIAL JOB FUNCTIONS
Prepares confidential management-level and corporate-level information, projects, and communications, including GROWMARK board memorandums, composing diverse memos, letters, and electronic communications.
Manages assigned projects by gathering and compiling appropriate information, preparing presentations, and submitting report summaries and recommendations, including month-end/quarterly financial reporting for the Grain Division and the reporting related to grain member incentive programs.
Arranges and coordinates the details of GROWMARK Grain Division and Member Services meetings.? This includes meeting location, equipment, meals, meeting notice, agenda, reservations and billing.? Coordinates travel arrangements with Flight Operations for employees and board members.
Coordinates board of director calendar for MID-CO COMMODITIES, INC. (MID-CO) and AgriVisor, LLC (AgriVisor). May assist with the preparation of board memos, notice of board meetings, preparing board agendas and minutes, and once approved, distributes to appropriate personnel.
Develops and maintains the Grain Division calendar, including Retail Grain Units, MID-CO, and AgriVisor. Coordinates critical appointment and project calendars and communicates key report and due dates to appropriate personnel.? Develops and maintains the Member Services and region calendars.
Responsible for maintaining Grain Division and Member Services SharePoint sites.?
Coordinates shareholder/delegate communications for the MID-CO Annual Meeting.
Makes administrative decisions with an awareness of GROWMARK and Grain Division policies, procedures, and relationships with members, customers, and affiliates.
Provides administrative assistance to the Director, Grain Business Operations; Director of MID-CO COMMODITIES, Director of Acquisitions, Grain Business Relationship Managers; Central Region Business Managers; and the Region Sales Administration Managers as needed.
Responsible for preparing Member Services sales, invoicing, and financial reports.
Responsible for ordering office supplies for various departments.
OTHER JOB FUNCTIONS
Provides leadership with office technology questions.
Follows GROWMARK?s Code of Conduct and Corporate Compliance Program, Environmental Health and Safety, OSHA and DOT policies and procedures, as they apply.
Performs all other duties as assigned.
Normally requires an associate?s degree, or the equivalent thereof, and 2 years or more of related work experience to demonstrate professional communication, interpersonal, and customer service skills, as well as the ability to work with all levels within GROWMARK and affiliates, including member cooperatives.
Knowledge of the GROWMARK Grain System is preferred.
Proven ability to maintain complete confidentiality
Demonstrates essential abilities including business knowledge, collaboration, communication, customer focus, decision making and skill development.
Must have and maintain a valid driver?s license and satisfactory driving record.
Demonstrated planning, organization, and project management skills, the ability to handle multiple tasks with frequent interruptions.
Understanding and experience in management level administrative-related areas including decision making, business writing with proven grammar skills, business etiquette, records control, office procedures, and problem solving skills.
Proven computer skills, and the ability to use technology to enhance business processes and presentations.
Proven team building skills, and the ability to work independently as well as in a team environment.
May be required to work extended hours.
May need to travel independently and overnight.
Ability and willingness to participate in required training that may include education on GROWMARK?s policies and procedures and additional training as it relates to the requirements of the position.
