We currently have an HR Programs Coordinator position available at our Corporate Headquarters in Boise, ID. SUMMARYPerforms advanced, diversified, and confidential administrative and human resources duties requiring broad and comprehensive experience, skill, and knowledge of organizational policies and practices. Prepares presentations, reports, etc. Edits, creates, and/or distributes written communication materials as needed. May serve as a resource to others in the resolution of complex problems and issues. Schedules and maintains calendar of appointments, meetings, and travel itineraries, and coordinates related arrangements. Supports, coordinates, implements and administers global leadership development programs and other key HR Centers of Excellence (COE) programs. Supports the design, deployment, maintenance, and improvement of related processes, resources and tools. RESPONSIBILITIESSupport: Collect and summarize data for assigned projects. Compile reports for management use. Assist leaders with analyzing information as needed. Responsible for processing and reconciling invoices for business administration and expenditures and reviews department budget. Work closely with external vendors, providers, and coaches to ensure the effective and efficient delivery of leadership development solutions. Support users of online learning and other HR systems as needed. Work closely with program facilitators, organizers, and participants to ensure successful events.Communications: Ensure timely turnaround of paperwork and ensure that correspondence needs are met, including presentations, letters, emails, and reports. Edit, create, and/or distribute materials as needed for projects, mass communication efforts, etc. Balance staffing with demands, establish and track multiple priorities to meet deadlines, and recommend improvements, which increase productivity in areas such as time management, resource development, and standardization of office practices.Communications (cont.): Prepare and distribute advance and follow-up communication, invitations and instructions to learners and other participants of programs.Scheduling: Responsible for planning and coordination of conferences and other administrative meetings including site selection, vendor selection, lodging and travel while understanding the needs of the organization to ensure the event will be successful in the most cost-effective way.Scheduling (cont.): Prepare and maintain department schedule of programs and events. Coordinate, plan, and project manage steps to ensure program success. Schedule and coordinate the event venue and catering needs. Ensure materials, snacks, drinks and other supplies are available. Oversees company programs such as, United Way events, and other employee functions providing support for scheduling, material preparation, and area coordination.Supplies: Responsible for ensuring floor is stocked with necessary supplies. Serves as the primary contact for assistance for the floor.System Administration: Administer and process course evaluation and program surveys. Publish organize and maintain courses and materials in the Teamshare and other associated applications. Pull reports of program participants.Implementation: Preparation, set-up and breakdown of all learning and other assigned HR events. Order, manage, inventory, and organize program materials and supplies. Organize and help conduct live and recorded webinars and online group sessions.REQUIREMENTSBachelor's Degree preferred but will consider equivalent experience and education. Two plus years related experience and/or training. Prior experience preferred with extensive background and knowledge of the company's general methods of operations. Must possess strong computer skills with spreadsheets, PowerPoints, and graphics experience. Combination of education, training and/or experience will be considered for this position.
