Founded in 1818, the company is headquartered in White Plains, New York.Position Summary: The Maintenance Administrator/Service Coordinator is responsible for providing administrative support to the maintenance department and participation in shutdown planning, scheduling, and follow-up Interface with other plant areas to evaluate needs and continuous improvement Information analysis, and onsite Service Tech support.Core Functions: Accurate monitoring of the department fixed cost budget.Generating department reporting.Prepare presentations for department/plant.Coordination between purchasing and accounts payable to ensure processing of purchase orders and invoices.Direct Contractor onsite management.Conduct and document daily contractor pre-job meetings (Toolbox Meetings).Provide on-site orientation for the contractor and verify the contractors ability to comply with regulatory and site HSSE requirements.Communicate with the contractor regarding the hazards at the job site as well as understand any hazards that may be brought on site by the contractor.Coordinate Contractor Management activities including safety and progress audits.Provide oversight of the contractor audit and inspection systems and manage corrective actions.Conduct evaluations of contractor performance. The evaluations may be done at the completion of the job, the expiration of the contract, or periodically for nested contractors.Scope of Work creation for prospective contractor bidders.Produce monthly contractor utilization reports.Scheduling contracted Maintenance services.Capital Authorization Request (CAR) writing.Standard Operating Procedure (SOP) creation, as needed.CMMS administration and continuous improvement.Closing out work orders within the CMMS, post full documentation check.Facilitate the smooth and efficient flow of paperwork within the department.Maintain documentation as required for SQF audit and Level III certification.Maintaining inspection reports.Maintaining all department contract files.Maintenance Warranty database.Other tasks as assigned.Skill/Experience Requirements: Bachelors degree in chemical, electrical, or mechanical engineeringSAP experience a plus.Strong computer skills, excel, word, outlook, etc.Ability to work on multiple projects with varying priorities at the same time.Strong organizational skills.Strong attention to detail.Work in a team environment.Ability to work with all levels of people
