Order Processing Coordinator

Also responsible for performing a variety of office functions to support feed mill operations.
Relies on accuracy and attention to detail.
Utilizes effective customer relations skills.
Follows established policies and procedures.
Performs work under direct supervision. ssential Job Functions
Operate primary business telephone to receive calls from customers, business partners and other contacts. Speak in a courteous and professional manner. Determine purpose of call and provide information for general inquiries. Transfer calls to appropriate staff members. Take messages and schedule appointments as needed. *
Receive customer feed orders. Effectively utilize the computer to accurately type order details into the order entry system. Follow mill procedures for order processing. Communicate specific customer requirements to the appropriate mill personnel. Schedule order pick up with customers. Coordinate deliveries with customers and independent trucking companies. Transmit and receive information or documents using telephone, computer, fax machine, e-mail, and US mail. *
Regularly perform office assignments based on business need and as directed by management. Follow established policies and procedures. Functions may vary based on location and include but are not limited to:
Process computer generated reports for daily production and other key metrics *
Type data into computerized billing system to generate invoices *
Monitor and reconcile inventory of ingredients and feeds in the system *
Schedule delivery of ingredients and other supplies *
Issue credit and debit memos in accounting system *
Effectively utilize office equipment including but not limited to fax machine, copier, printer, calculator, telephone system, and computer to receive, transmit, record, track, analyze and document information. Learn and effectively utilize office computer system and programs to maintain data accuracy and integrity. *
Provide backup assistance for co-workers on various essential office functions in their absence. *
Work safely as to not cause harm to yourself, co-workers, equipment, or inventory. Comply with OSHA Regulations, Southern States Environmental Health and Safety (EHS) standards, work rules and policies. *
Perform all other job functions as assigned.Education:
Requires a High School Diploma or General Education Degree (GED); Prefer college or technical school coursework in accounting or business administration. Experience:
Requires a minimum of six months of general office or accounting experience with data entry and customer service skills.
Prefer previous experience in a feed mill or manufacturing environment.
Previous Southern States work experience a plus. Requirements
Operational knowledge of office equipment and tools including but not limited to fax machine, copier, printer, calculator, telephone system, spreadsheets and forms *
Computer literacy skills to effectively utilize the office computer systems *
Able to learn and understand office processes and procedures *
Able to add, subtract, multiply, divide and calculate percentages using whole numbers, fractions and decimals *
Able to speak, read, write the English language in a proficient manner *
Able to complete paperwork, reports, and other documentation in a legible, organized, and timely manner *

Able to work extended hours to meet business demands Work Environment The Order Processing Coordinator primarily performs essential job functions in an office environment.
Occasionally required to perform essential job functions in the mill, including gathering paperwork and coordinating with operators, maintenance mechanics and mill leadership.
When in the mill area, the Order Processing Coordinator may be exposed to hazards including:
Moving mechanical parts and vehicles *
Noise levels where hearing protection is optional per PPE Plan *
Dust, odors, and chemicals associated with the production of feed *
Electrical current, vibrations, fumes, lubricants, and wet surfaces associated with the production, packaging, warehousing, and distribution of product The Order Processing Coordinator primarily works an eight (8) hour shift Monday – Friday where extended hours are required.
Must be able to work an alternate schedule or weekend as determined by business need.
Ability to report to work in adverse weather conditions is required.
Physical Activities & Requirements While performing the essential job functions of this position, the Order Processing Coordinator is required to:
Continuously balance, finger and handle, use hands in repetitive motion, sit, utilize eye/hand coordination *
Frequently stand, walk, turn and twist head/neck and back/waist *
Occasionally, bend, climb, crouch, kneel, stoop, stack; reach with arms and hands; stand and walk on concrete and/or grated metal flooring when in the mill. Pull, push, lift, carry 10-35 pounds, when moving boxes of printer paper or records and files. Pull, push, lift, carry 35-55 pounds, infrequently, may be assisted. Must be able to hear and speak to co-workers and customers regarding day-to-day business operations issues.
Must be able to hear equipment sounds, mill pages, co-workers and radio and speak to co-workers regarding safety when in the mill.
Must be able to utilize sense of smell to identify potential safety hazards.
Specific vision abilities required by this job include:
close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
Tools & Equipment Hard hat is required when entering the mill.
Able to utilize a scale, computer, printer, copier, calculator, manuals, spreadsheets and forms, writing instrument, telephone.
