Program CoordinatorREPORTS TO: Director of Programs and OperationsJOB PURPOSE: Coordinate IAWA projects and initiatives within the IAWA team and with our external partners in support of IAWA?s mission and strategic goals. Serve as the team?s primary event and meeting planner through adequate preparation and documentation, timely follow up and accurate representation of IAWA?s mission to increase the pace and scale of farmer-led efforts to improve water quality.? The Program Coordinator also plays a key role in helping the IAWA team coordinate effectively with key partners, including the Iowa Corn Growers Association, Iowa Pork Producers Association and Iowa Soybean Association; assisting in managing the organization?s budget, financial reporting and tracking systems; assisting with outreach program execution; development support and providing limited administrative support for the Programs and Operations Director, Communications Director and Executive Director.?ESSENTIAL DUTIES AND RESPONSIBILITIESMakes independent decisions regarding the scheduling, coordination and execution of events and meetings including conducting all preliminary planning including researching event and meeting sites, negotiating contracts and anticipating attendance. (~45% of time)Coordinate and schedule IAWA meetings with key IAWA constituents, including the Board of Directors, Management Team, Advisory Council, Business Council, state and federal agencies and for IAWA large initiatives and events including field days.Assist Programs and Operations Director in developing the annual budget for the organization and supporting other conservation programs.Maintain monthly financial reporting, invoicing, collections, expense tracking and time coding systems. Works closely with the Iowa Soybean Association?s Accounting department.Assist Communication Director with regular programming, including coordination and distribution of materials, event planning, basic outreach activities and generally meeting outreach deadlines.Support Executive Director in development activities, including maintaining current or cultivating potential funders with appropriate preparation and follow through; identification of prospective funders through foundation search software and assist in developing fundraising proposals.Develop event timelines, identify tasks and staff responsible for executing deadlines. Includes all aspects of meeting preparation, set-up and clean-up.Organize and support monthly IAWA progress reports.Assist with writing, editing and proofing of articles and promotional and development materials as needed.Assist team in tracking and meeting proposal and project deliverable deadlines.Represent IAWA at meetings and conferences with key partners and constituencies.Support activities of Program and Operations Director, Communications Director, and Executive Director.Filing, phone calls, records and document managing, typing and transcribing, note taking and hosting.
