Functions include giving information/assistance to employees and visitors who enter the Safety Office. The Safety & Health Administrative Assistant should be technically competent with computer skills and have the ability to effectively communicate with all departments, including contractors and vendors. What you will do: Manage the office to ensure smooth flow of the department activities (i.e., field phone calls and emails to maintain open lines of communication to the Safety Department, provide information and assistance to employees and visitors)Routinely distributing current safety statistics to management, employees, and contractorsManage the prescription eye glass program for the site, by verifying eligibility, communicating with employees, and reviewing all invoices for payment; utilize spreadsheet to maintain allotments within the guidelinesEnter requisitions and supplements to maintain supplies and services Assist Safety Manager and Safety Specialists by providing documents and updates on relevant materialIssue vehicle passesInput injury/incidents/key procedure audits in EtQ database for month end reportsCollect the Actual Hours Worked to provide the month end Injury Statistics Report for distribution to all departmentsManage safety shoe program by verifying eligibility-communicates with shoe store personnel, vendor and accounting when problems arise with employees; utilize a spreadsheet to track and maintain proper distributionMaintain employee safety files to insure information is available, when neededPrepare and submit MSHA 7000-1 and MSHA 7000-2 quarterly reports as required by MSHA regulationsMaintain and provide required reports during MSHA InspectionPrepare, maintain, and post OSHA 300 Form as required by OSHA regulationsEtQ Conference Calls to discover new information on modification and updates to the systemComplete clerical and administrative duties associated with workers compensation programWork with vendors to provide Safety Emphasis/Award Promotions-meals and gifts for employeesCoordinate lunches (ERT, Audits, Mtgs, etc)Maintain updates of all safety forms and posting on intranet to insure the proper documents are availableMaintain updates in Safety Regulation Manual, Comprehensive Emergency Plan and Hazard Communication Manual to ensure accuracy of the procedures and contactsWhat you will bring: High School Diploma3-5 years of experience Clerical background is preferredSafety & Health Administrative Assistant will have a functional level of computer abilityAbility to manage in a structured environmentAbility to make independent decisions when guidance is not availableAbility to learn quickly through written and on the job training, this would be displayed with formal education or prior experience Are you a good match?
