Sales Assistant

Cargill Toshoku handles cocoa, coffee, dairy, sugar, nuts, eggs, meat, beverages, frozen vegetables, canned goods, ethanol and other food products and food ingredients.
Our 14 product groups are sourcing and sales organizations which work closely with mostly Japan-based customers to identify and define requirements, mainly for food products and food ingredients.
To deliver unique products and ingredients required by our Japanese customers, Toshoku works closely with Cargill and non-Cargill suppliers around the world. Toshoku has 11 offices in nine countries.
Position Purpose
Assist sales managers for export operation and documentation.
Arrange consistently from making a booking to sending shipping documents to counter part of Cargill Japan.
Administrative duties in the office Principal Accountabilities
30% Export
Confirm availability of the shipment to supplier
Search for suitable vessel
Arrange a booking upon request from sales person in charge of CJL
Inform booking confirmation to Tokyo office by fax and/or email
Notify to Tokyo office once the container is shipped and follow the status
Make invoice by GP accounting system and submit payment request to accounting department
Prepare shipping documents correctly by deadline and send to CJL
Organize copies of shipping documents in the company files 10% Import
Arrange ISF form, custom clearance and inland transportation through custom broker
Suggest and advise to team member about the shipback products
Coordinate with custom broker for import products of CA office
Corroborate with Cargill Tax & Customs team for import products with applicable US regulations 20% Sales Assistant
Arrange pre shipment samples to CJL
Support Sales manager to settle the problem related in logistics
Gather the service contract information and prepare comparison charts
Evaluate service contract with multiple shipping conditions to utilize most cost effective carriers
Monitoring port status and condition of the inland transportation and notify to team member / CJL periodically
Making good communications with supplier, forwarder and logistic team in order to realize shipment as per customers? request
Communicate between supplier and CJL in order to control lot allocation and secure approved lot prior to shipment. 5% Payment and receipt
Confirm A/P and A/R with applicable company policy and credit limit
Notify wire payment schedule to accounting team
Making payment and confirm the cash receipt on time through accounting team 35% Administration Task
Distribute daily mail
Contact with courier company for irregular delivery schedule
Help biz trip arrangement such as mobile phone plan change, hotel arrangement when necessary
Arrange to send old documents to external storage facility and shred service when necessary
Filing and organizing documents
Order Office Supply
Letter, Christmas Card distribution arrangement
Arrange company events

Required Qualifications
Multi-tasking and good organizational skills.. Basic knowledge of trading field.
PC Skills such as excel and outlook etc.
Ability to communicate with suppliers/customers/forwarders with appropriate way
Basic Knowledge of Export procedures and operations as well as trading rules Preferred Qualifications
High level PC skills and export trading knowledge
High communication skills Capable of both communicating in both English and Japanese
