Senior Administrative Assistant
Position Purpose The person in this role will provide complex administrative support to assigned GHRS Leadership Team members and GHRS teams and provide Benefit/Payroll administration support for the day-to day operations of GHRS Field Operations and support day-to day operations of GHRS Regional Employee Relations. Responsibilities of this role include handling confidential material and assisting with complex coordination of schedules. This individual will need to resolve scheduling conflicts, handle the pre-work and agendas as well as the filing of documents, travel arrangements, expense reports, managing communication, etc. In addition, this individual will handle information requests, perform clerical functions including data entry, printing, filing, preparing correspondence and distributing mail. This person will interact with a broad spectrum of Cargill employees and external contacts. The person in this position must be highly organized, a self-starter with strong initiative and follow-through skills, problem solving capability, and good interpersonal skills. This person will add value as a member of the team through strong administrative, organizational, technical, and communication skills. Principal Accountabilities 40% Support GHRS Field Operations Team, including ? Handle employee files, including printing, compiling, preparing for file, and filing. ? Complete verification of employment/employment details, including looking up confidential employee information and submitting to applicable parties. ? Sort and deliver daily incoming mail. When applicable scan and create tickets to get mail to appropriate parties. ? Complete notifications needed for garnishment and court orders 25% Administrative support to assigned GHRS Leadership Team members and GHRS teams, including: ? Apply thorough understanding of department operations and infrastructure, policies, and procedures ? Make independent decisions regarding the management of leaders? time by reading, researching, problem solving, and routing correspondence; answering basic inquiries; prioritizes calls and meeting requests; drafting letters and documents; collecting and analyzing information; initiating communications ? Develop, recommend, and implement administrative processes to ensure efficient operations and support ? Responsible for administration of calendars and schedules by planning and scheduling meetings, conferences, teleconferences, and travel. ? Responsible for managing logistics of meetings and conferences by arranging space setup, food delivery, vendor management, invites, etc. ? Manage complex data entry, expense reports, and invoice processing ? Understand HR systems to support record management, filing, department moves, on-boarding logistics, and time and attendance ? Ensure operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques 25% Support Regional ER Team work, including ? Generate reports and distribute ? GovDocs location management, including tracking locations, quantities and contacts and updating ? Support LEARN program ? File management of I-9s; Assist with Everify administration ? Create content and maintain proper administration of SharePoint sites ? Provide historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions ? Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies ? Set up and track Webex Training ? Create tickets in Remedy Force . 10% Project work and any other duties, as assigned

? High School Degree ? 4+ years of experience as business administrative assistant ? Experience with Travel logistics ? Experience coordinating executive/leader schedules ? Proficient use of Microsoft office, including Word, Excel, and PowerPoint ? Experience with SharePoint setup and maintenance ? Ability to work independently in fast paced environment ? Strong time management and organizational skills ? Strong decision making and problem solving skills ? Detail oriented ? Strong writing and reporting skills ? Ability to multi-task ? Strong interpersonal skills with the ability to work with a variety of individuals, both internal and external ? Ability to be collaborative and work with a variety of teams ?
