Position Summary: The North American Shared Services Center has an opening for an energetic and self-motivated full-time Travel and Expense Manager within the Decatur office. The candidate will supervise the North American Travel & Expense team, monitor strategic policies for corporate travel, manage relationships with agencies and vendors, and assist global travel partners through development and implementation of processes and procedures.
Job Experience: Proven experience as a corporate travel manager or similar positionPolished communication skills with key stakeholders internally and externallyProven ability to lead a team focusing on process improvementKnowledge of metrics driven travel & expense reporting and processingThorough understanding of travel industryDetailed knowledge of Concur travel systemExcellent communication and negotiation skillsBachelor?s degree preferredTraining in travel, tourism, or corporate expense management is a plus Job Responsibilities: Provide day to day leadership to the team while directly managing multiple individual contributors
Develop policies and programs for corporate travel & expense globallyAdvise employee body of changes; develop policy compliance strategies and provide compliance reporting to management. Craft and deliver appropriate communication and training strategy. Ensure operational model supports all facets of ADM requirements and create strategies for service enhancements, initiate process improvements and deployment of benchmarking-generated best practices. Accountable for Supplier Management, managing supplier performance, communication and training, conducting business reviews and feedback, continual performance and innovation. Establish KPIs, monitor and address gaps with remediation plans.Analyze data, trends, benchmarks and best practices, serves as a SME on travel related information/regulations for the company. Partner with relevant leadership, to ensure alignment between travel and business needs/wants vs. policy and compliance requirements. Collaborate with Global and US Procurement on initiatives in related to categories, supplier selection, implementation of suppliers, and identify savings opportunities. Collaborate to develop, align, maintain and/or administer, where appropriate, global related policies allowing for cultural and regional differences with cross functional coordination as needed.Serve as liaison between Shared Services, corporate security, global travel partners, human resources, insurance & risk, and company executives. Engage and collaborate with cross-functional groups to gain support for initiatives.Manage compliance of standard company programs, credit card, and spend procedures through report analysis and vendor partneringPerform audits of systems to identify errors, exceptions, orphaned charges, or unused expensesOrganize and lead multiple meetings, including preparation of agenda, speaking in front of large groups of people, and creating action items for attendees Partner with other Process Supervisors to ensure consistency across the SSC organization, specifically with colleague development, communication, and process changesEnsure that teams have training materials and plans in place for each process Utilize performance and quality metrics to make decisions on current and future state of processesOversee the development and implementation of process and system improvements to improve efficiency, lower costs, and strengthen controls Ensure compliance to procedures, guidelines, and ADM policies Monthly analysis of process costs and metrics Hire, manage, develop, and coach direct reports as needed
Job Requirements: Ability to effectively manage a process, fully utilizing resources, meeting process deadlines, and service level expectations An ability to lead, direct, motivate, coach, and develop colleagues, along with demonstrated team building skills Ability to function independently, identifying problems and opportunities for improvement, combined with the ability to formulate and implement feasible solutions Ability to identify, implement, and thoroughly analyze metrics for a process Ability to establish clear stretch goals for individuals and teams, and manage performance against them Ability to fully document an end-to-end process (process flow mapping), identify waste and areas of improvement, and execute/implement changes in order to standardize, simplify, and make the process more efficient Strong organization skills with ability to prioritize and follow up on action items or escalationsA strong understanding of controls and how to identify potential points of risk in a processAbility to effectively manage and drive change.Ability to interact with and influence various levels of finance, commercial, and operations management Excellent interpersonal skills to actively listen, clarify, lead or channel a discussion, plan and develop ideas Ability to function in a challenging environment with multiple changing and competing priorities Strong problem solving and analytical skills Ability to effectively manage a project, including the creation of project plans and timelinesExtensive experience with, knowledge of, or ability to learn systems used by ADM to drive process and system improvementsDependable and desire to learn with a positive attitude
